Extraordinary General Meeting (EGM) 28th July 2016

Dear Members,

Extraordinary General Meeting (EGM), Thursday 28th July 2016, at 19:00 at the Westerham Town Council Offices, Russell House, Market Square, Westerham.

In accord with the Constitution of the Society the Committee hereby give notice of an EGM to be held on the above date.

The purpose of this EGM is to propose amendments to the Constitution.

As you may be aware a sub group has been working on a proposed Virtual Museum for some time. This project is now renamed to Westerham Heritage Collection.

This project to digitise and archive historical artefacts on the history of Westerham is coming to fruition and a Heritage Lottery Fund application for £10,000 had been made.

A requirement of the application is that the Society has to be clear on two specific points:

Firstly, that we are a non-profit organisation and any income is only ever to be used for the objectives of the Society, and secondly that in the event the Society was wound up we would distribute any excess funds only to other such non-profit organisation having similar aims and objectives.

I am sure that we all believe that these points were already the core of our Society but we have been asked to clarify the Constitution by the Heritage Lottery Fund. You are requested to attend the EGM, or you may provide a written consent to amend or object to the amendment. Any such written consent/objection to be sent and received by me prior to the meeting. Your Committee is recommending such amendments.
